OPPORTUNITY:
We are seeking a dynamic and organized Executive Assistant with a focus on Human Resources responsibilities to support our executive leadership team and contribute to our HR functions.
Reporting to the Chief Administrative Officer, the Executive Assistant is responsible for providing administrative support to the CAO, Mayor and Council. Additional responsibilities will be HR administration such as recruitment processes. Providing assistance to Directors/Managers with various employee matters and various HR related duties will be required. Extensive knowledge of Microsoft Office is required.
KEY RESPONSIBILITIES - EXECUTIVE SUPPORT:
- Provide administrative support to the CAO, as well as support to Mayor and members of Council as required;
- Maintain thorough knowledge of the administrative processes and high-level understanding of the Department’s functions;
- Co-ordinate and schedule municipal functions, community special events;
- Draft communications, including media releases, speaking notes, research reports, etc.;
- Arrange appointments, receive and respond to email or phone inquiries from public to the Mayor’s Office.
KEY RESPONSIBILITIES - HUMAN RESOURCES SUPPORT:
- Will provide HR support and coordinate with Payroll Officer in conjunction with the Finance department;
- Preparing job ads and descriptions, coordinating candidate communications, interviewing, hiring processes;
- Maintain confidential information.
REQUIRED QUALIFICATIONS:
- Completion of an office administration certification or other related designation;
- Experience as an Executive Assistant, HR Administrator or similar role would be considered an asset;
- Minimum of 3-5 years experience as a senior-level administrative professional in a similar environment;
- Extensive knowledge of Microsoft Office;
- Bachelor’s degree in Human Resources or related discipline is preferred; diploma or certificate in Human Resources Management or related discipline will be considered;
- Consideration will be given to an equivalent combination of education and experience.

- Exhibit high level of professionalism, confidentiality and discretion with regard to private information;
- Flexibility with a willingness to do some overtime;
- Other duties as assigned.
Salary: $62,832 – $70,677
Usual hours of work are based on 37.5 hours over a five (5) day week.
Ability to work outside regular business hours as required.
